When you use BuildOne's services, either via website or the App, you are trusting us with some of your information. We understand this is a big responsibility on our shoulders and we are always working hard to keep your information safe and secure, and give you control over your data. We are ISO 27001 certified, independently certified for protecting privacy of Personally Identifiable Information (PII) under GDPR readiness, and working on additional major data privacy certifications.
This Privacy Policy section is meant to help you understand what information BuildOne collects, why we collect such information and how you have full control to update, manage or delete your information.

1. Introduction
BuildOne is a comprehensive commercial property management and ERP platform that empowers property managers, tenants, and service providers with seamless operations, transparent accounting, secure access control, and smarter everyday conveniences. Our various services include:
Accounts & Payments Management
BuildOne features an end-to-end accounting module to simplify management of finances for commercial property owners. Tenants and building personnel can pay various bills including rent, maintenance, utilities, and other charges via the app.
Visitor Management
BuildOne's technology enhances security by ensuring that there is a streamlined visitor approval process managed by tenants and building personnel who can control who to allow on the premises.
Security Alert
In case of emergency, tenants and building personnel can alert security personnel at the click of a button on the app.
With BuildOne Communication Management, property management can create announcements, send meeting invites, and tenants can have their maintenance requests resolved by raising tickets to the appropriate department. Users can also start discussions, post ideas, or provide feedback.
BuildOne seamlessly connects the commercial property ecosystem – tenants, facility management, security personnel, contractors, visitors, and service providers – through the app, with a view to improving security, efficiency, and convenience.
2. Information Crew Collects
We would like you to understand that the information collected via the BuildOne app or website is to help us provide you with superlative service.
Information collected on the BuildOne app and website:
- Name, Email address, Mobile number
- Company name and department
- Tenant/lease details
- Vehicle number (if applicable)
- Any other optional information you choose to provide
- Name, Mobile number, Company/person to be visited
- Additional information may be mandated by the property owner such as phone number, photograph, or ID verification (at the discretion of the property owner)
- Mobile network information
- Date, time, and referrer URL of your request
We collect standard website access information using cookies and other similar technologies on all our websites. We do this to measure, improve and personalize our services for you and we do not share this information with any third party organizations for commercial purposes.
We don't sell or trade user information in any form to anyone. The information is used solely for the purpose of enabling services and making your experience better on BuildOne platforms. On a case-by-case basis we provide value-added services from third party partners where information will be shared only after your explicit consent.
BuildOne's services are an extension of the services offered by the property owner (being our direct customer) of the premises. The property owner will have access to all the information collected for their property on BuildOne for operational, security, and compliance purposes.
3. How Information Is Collected
BuildOne provides its services through our website and mobile app (collectively referred to as "Platforms"). User information is collected via our platforms either directly or indirectly to provide excellent product and service experience.
Direct Information
All personally identifiable information as mentioned in "Information BuildOne Collects" section is explicitly collected on the platform where users fill in their details and give necessary consent to be contacted or for their information to be used by BuildOne for serving them better via the platforms. We do not consider personal information to include information that has been made anonymous or aggregated so that it can no longer be used to identify a specific person.
Indirect Information
Information like IP address, device data, browsing data and other technical information is collected while the user is interacting with our platform. This is collected to enhance user experience on our platforms. Such non-personally identifiable information (non-PII) may also be provided to third party advertisers to ascertain your interests and serve relevant advertisements on third party platforms.
4. Why Information Is Collected
We use information collected from users to provide our services. The data is collected on BuildOne website as per discretion and inputs given by users. On the mobile app, information is collected as per our agreement with property owners who act as an extended service provider to all tenants and building personnel within the property.
Key purposes for information collection:
- Account setup and administration
- Verification of your account and identity
- Personalization of content and user experience
- Periodic communication (new features, newsletters, compliance requirements, service updates)
- Interest-based advertisements on third party platforms (no personally identifiable information is shared without consent)
- Provide accurate insights and analytics to users
- Deliver additional value-added services
- Meet legal obligations and internal audit requirements
- Improve safety and reliability of services (detecting, preventing, and responding to security risks, fraud, or technical issues)
5. User Privacy Controls
BuildOne ensures that you are in full control of the information we collect and how it is used.
Managing, Reviewing, and Updating Information
When you're signed in, you can always review and update information by visiting the services you use. For example, you can change your contact details such as your name, email, and phone number.
Choice to Opt Out
We provide all users with options to opt-out from receiving notifications pertaining to entry/exit alerts, helpdesk updates, and marketing communications. This can be done directly on our platform settings.
Deleting Information
If you choose to unsubscribe from our platforms or delete any or all of your information, you can remove your account and uninstall the app. Additionally, you may send an email to info@BuildOne.site for specific information about your account or deletion of your account history. However, such deletion may require approval from the property owner, and we may retain some information and transaction records for specific periods as required by law, contract, or policy.
Privacy Complaints
Users can reach out to BuildOne's Data Protection Officer to lodge complaints or communicate any privacy-related grievances. Details are provided in the "Role and Details of Data Protection Officer (DPO)" section.
6. Sharing Information and Disclosures
We may disclose personal information that we collect or you provide, as described in this privacy policy, in the following ways:
General Information Disclosures:
- Subsidiaries and affiliates: Entities under common ownership for provision of our services or to comply with applicable laws.
- Third-party service providers: BuildOne uses third party service providers (SMS, push notifications, emails, banking partners, payment gateways, analytics platforms, cloud services, hardware integrations) who are bound by contractual obligations to keep personal information confidential.
- Customer support: When you contact BuildOne customer care, support personnel may access your information for query resolution.
- Third-party partners: Explicit user consent will be obtained before sharing information with partner companies or organizations to provide additional services or offerings.
For Legal Reasons:
We may share or disclose your information without consent if we have a good-faith belief that access, use, preservation, or disclosure is reasonably necessary to:
- Meet any law, regulation, or legal process as applicable or enforceable government request.
- Enforce applicable terms of service, including investigation of potential violations, fraud, security, or technical issues/breaches.
- Share information with your respective property owner as per terms of agreement.
- Protect against harm to the rights, property, or safety of our users, BuildOne, or the public as required or permitted by law.
Consent
In some cases, we may process your information based on consent you granted to your property owner or expressly to us at the time of collection. By using BuildOne, you authorize BuildOne (including its representatives, affiliates, and business partners) to contact you via email, phone call, push notification, WhatsApp, or SMS to offer services, impart product knowledge, and provide promotional offers. You may register your phone under DND/DNC/NCPR services, but you acknowledge that BuildOne may contact you for the above purposes. Your authorization remains valid as long as your account is active.
You have the right to withdraw your consent at any time either via the platform or by writing to us at info@BuildOne.site. If you withdraw consent, we will stop processing the relevant personal information except where we have other legal grounds for processing.
Business Transfers
Your information will be shared with another business entity should we (or part of our business/assets) plan to merge, or be acquired by another business entity, or in cases of organization restructuring or amalgamation. The new business entity will follow this Privacy Policy. All affected users will be notified before personal information is transferred or becomes subject to a different entity's privacy policy.
7. Information Security
We build security into each and every system and service to protect your information.
All BuildOne platforms and processes are built with strong security features that continuously protect your information. We have multiple real-time checks and tests running to help us detect and automatically block security threats from ever reaching you. In case of any detected threat or risk that we deem you should be aware of, we will notify you and guide you through steps to keep your privacy protected.
Security Measures:
- Encryption: All information going in and out of the app is 256-bit HTTPS encrypted. TLS encryption is used throughout the application for data in motion, and data is also encrypted at rest.
- Secure servers: All information is stored in servers with best-in-class firewalls and requires multiple authentications for any access.
- Regular security reviews: We constantly review our information collection, storage, and processing practices, including physical security measures.
- Restricted access: We restrict access to personal information to employees and external contractors who need the information to process services. Any internal employee with this access is subject to strict contractual confidentiality obligations.
- ISO 27001 certification: The BuildOne app is ISO 27001 certified and audited on a regular basis.
- Network security: BuildOne application and data servers do not use publicly accessible addresses or IPs. Access is secured through a VPN tunnel with 2FA (two-factor authentication). All traffic is routed through a WAF (Web Application Firewall).
